Add a New Case

To add a new case, follow the steps below:


1. Navigate to Cases

The Cases page is displayed.

2.   Click Add Case.


The Add New Case dialog is displayed.


Note: Entering the information is mandatory in the following fields.

  • The Case Number field is system generated but you can change it if required.

Recommendation- We recommend allowing the system to assign new case numbers so that each case number is unique.

  • Select the name of the client from the Client dropdown list. You can also add a new client from here. For more information, refer to Add a New Contact.
  • Select the type of case from the Case Type dropdown list.
  • From the dropdown list, select the Country to Immigrate.
  • From the dropdown list, select the Responsible Team Member.
  • Select Case Referred By whom from the related dropdown list. Note that this is not a mandatory field. If the case was referred by your agent, you can use this field to track commissions.
  • The Case Started By field is system generated.
  • Select the Current Location of the contact linked to a case from the related dropdown list.
  • Depending on whether the case is pending or completed, you can choose the status from the Status dropdown list.
  • Choose the deadline date from the Case Deadline Date icon in mm/dd/yyyy format.
  • The Open date will be automatically filled in by the system.
  • Enter a brief description of the case for your reference in the Case Description field.

You can provide the following information now and click Add Case now, or later at your convenience.

Note: This is referred to as header and body separation. This has been created for your convenience. For example, if you want to start the case but fill in the details later, you can only fill in the header with the essential information and complete the remaining details later.


3. Provide additional information under the Additional Information accordion panel by following the steps.


  • You can enter contact information like name or number in the Contact Info field.
  • Select the country in which the contact resides from the Country of Residence dropdown list.
  • Select Province from the provided dropdown list.
  • Select the location from the Location dropdown list.
  • Select Date of Birth from the associated calendar  icon in mm/dd/yyyy format.
  • From the dropdown list, select the Country of Citizenship.
  • Select the pertaining marital status from the Marital Status dropdown list.
  • Specify whether or not a spouse/common-law is accompanying to Canada by choosing Yes or No from the Spouse/Common-Law Accompanying Canada dropdown list.
  • Specify whether or not spouse/ common-law is a permanent resident or citizen of Canada by choosing Yes or No from the Spouse/ Common-Law Canadian PR/ Citizen dropdown list.

4.  The next accordion panel - Immigration History will help you provide the data pertaining to immigration. Follow the steps to complete the details.


  • Specify whether the client or their spouse has been refused any type of application for any country or any province with Yes or No from the dropdown list.
  • Specify whether the client or their spouse has been arrested, detained, charged, or convicted in any country in the past with Yes or No from the dropdown list. 
  • Mention whether the client or their spouse had applied for immigration or visa to Canada with Yes or No from the dropdown list. 
  • If any additional information needs to be provided, you can enter the data in Any Further Information field.

5.  In the next accordion panel - School Details, you may provide the details of the school at which the client wants to pursue their studies. To fill in the information, follow the steps below.


  • Enter the name of the school or institution in the Name of School/ Institution field in which the client wants to study.
  • In the Preferred Program/ Course field, enter the course or program name that the client wants to pursue.
  • From the Preferred Country dropdown list, select the country that the client prefers.
  • Select the appropriate province preferred from the Preferred Province dropdown list.
  • Select a target date that the client wishes to start by clicking on the Target Start Date .
  • Enter the maximum budget for tuition in Canadian dollars that the client can spend on their course in the Maximum Tuition Budget field.
  • If the client wishes to do more than one course/ program, click Add New and refer to an accordion panel - School Details.

6.  In the Educational History accordion panel, enter the details related to the client's education.


  1. Enter the name of the school or the institution in the Name of School/ Institution field.
  2. Enter the name of the course in the Course Name field.
  3. Click on the Start Date icon to choose the date on which the client started the course.
  4. Select the End Date icon to choose the date on which the course ended/ends.
  5. To add one more educational detail, click Add New and provide the details.

7.  Details regarding exams that clients have taken on language can be provided in the Language Exam accordion panel.


  • Specify whether or not the client has taken an English or French language exam in the last 2 years by choosing Yes or No in the dropdown list.
  • From the dropdown list, select the language in which the client took the test.
  • Choose the Issue Date from the associated calendar.
  • Select the type of IELTS exam the client has taken from the dropdown list.
  • Enter the score obtained by the client in the speaking test in the Score of Speaking Test field.
  • Enter the score obtained by the client in the listening test in the Score of Listening Test field.
  • Enter the score obtained by the client in the reading test in the Score of Reading Test field.
  • Enter the score obtained by the clientin the writing test in the Score of Writing Test field.
  • Specify whether or not the client doesn’t have any other language results with Yes or No in the dropdown list 
  • If you wish to mention more than one language exam detail, click Add New and refer to the Language Exam accordion panel.

8.  The Employment History accordion panel gathers information with regard to the client's employment.  Follow the steps to complete the data.


  • Enter the name of the client's employer in the Employer Name field.
  • Enter the title of the client's role in the Job Title field.
  • Choose the date when the client started the job from the Start Date calendar.
  • Choose the date when the client ended the job from End Date calendar.  The end date must be greater than the start date.
  • To add more than one employment detail, click Add New and refer to the Employment History accordion panel.

9.  Passport Details accordion panel gathers the necessary passport information.  


  • Enter the client's passport number in Passport No. field.
  • Select the country from where the client's passport has been issued from the dropdown list Country of Issue.
  • Choose the date of issue of the passport from Issue Date  icon.
  • Choose the date of expiry of the passport from the Expiry Date  icon.
  • If an identity card number is applicable, enter that number in Identity Card Number, if applicable field.
  • Mention whether or not the client or their spouse has a US Green Card with Yes or No from the dropdown list.

10.  Facts regarding the client's dependents are recorded in the Dependents accordion panel. 


  • Specify whether or not the client has any dependents or children by opting for Yes or No from the dropdown list.
  • If the client has dependents or children, enter the number of dependents/children in the How many dependents field.

11. Provide the client's parent’s details in the accordion panel - Primary Parents Details.  Go along with the steps to complete the required details.


  • Enter the client's father’s name in the Father’s Name field.
  • Provide the client's father’s residential address in the Father’s Residential Address field.
  • Choose the client's father’s date of birth from the Father’s DOB  calendar.
  • Enter the occupation of the client's father in the Father’s Occupation field.
  • Enter the client's mother’s name in the Mother’s Name field.
  • Provide the client'smother’s residential address in the Mother’s Residential Address field.
  • Choose the client'smother’s date of birth from the Mother’s DOB  calendar.
  • Enter the client's mother’s occupation in the Mother’s Occupation field.

12.  The client's spouse’s parents' details can be provided in the next accordion panel, Spouse Parents Details.  


  • Enter the name of the client's spouse’s father in the Father’s Name field.
  • Provide the client's spouse’s father’s residential address in the Father’s Residential Address field.
  • Choose the date of birth of the client's spouse’s father from the Father’s DOB calendar.
  • Enter the client's spouse’s father’s occupation in the Father’s Occupation field.
  • Enter the name of the client's spouse’s mother in the Mother’s Name field.
  • Provide the client's spouse’s mother’s residential address in the Mother’s Residential Address field.
  • Choose the client's spouse’s mother’s date of birth from the Mother’s DOB calendar.
  • Enter the client's spouse’s mother’s occupation in the Mother’s Occupation field.

13.  Basic information related to the client's siblings is recorded in the Sibling Details accordion panel.  Fill in the fields with the necessary information following the steps below.


  • Enter the client's sibling’s name in the Name field.
  • Enter the occupation of the client's sibling in the Occupation field.
  • Choose the client's sibling’s birth date from the DOB calendar.
  • Provide the client's sibling’s residential address in the Residential Address field.
  • If the client has more than one sibling and to fill in their information, click Add New.

14.  The Applicant Declaration accordion panel is to declare that the client and their family members have no legal obligations listed in the application.  Follow the steps to answer the required fields.


  • Specify whether or not the client has ever been convicted or currently charged with or on a trial for, or is party to a crime or offense, or is subject to any criminal proceedings in any country by choosing Yes or No from the corresponding dropdown list.
  • Specify whether or not the client has ever used, planned, or advocated the use of armed struggle or violence to reach political, religious, or social objectives by selecting Yes or No from the correlated dropdown list.
  • Select Yes or No if the client ever has or has not previously sought refugee status in Canada or applied for a Canadian immigrant or permanent resident visa or visitor or temporary resident visa from the corresponding dropdown list.
  • State whether or not the client has ever been associated with a group that used, uses, advocated or advocates the use of armed struggle or violence to reach political, religious, or social objectives by selecting Yes or No from the correlated dropdown list.
  • Specify whether or not the client has ever been refused refugee status in, or an immigrant or permanent resident visa or temporary resident visa to Canada or any other country, or has been refused a Certificate de selection du Quebec (CSQ) to Quebec by selecting Yes or No from the corresponding dropdown list.
  • Select Yes or No from the accompanying dropdown list if the client has ever been a member of an organization that is or was engaged in an activity that is part of a pattern of criminal activity, or not.
  • State whether or not the client has ever been refused admission to, or asked to leave Canada or any other country by selecting Yes or No in the associated dropdown list.
  • Specify by selecting Yes or No from the dropdown list if the client has ever been detained or put in jail, or not.
  • State whether or not the client has ever been involved in an act of genocide, a war crime or in the commission of a crime against humanity by choosing Yes or No from the related dropdown list.
  • Select Yes or No from the corresponding dropdown list to choose if the client has ever had or not had any serious disease or physical, or mental disorder.

15.  The work-related information of the client is collected in the Work In Canada accordion panel. 


  • State whether or not the client has an offer of employment in Canada approved by the Canadian Human Resource Development by selecting Yes or No from the provided dropdown list.
  • Specify whether the client is or not working in Canada under a work permit by selecting Yes or No from the corresponding dropdown list.

16.  In the Finances accordion panel, enter the amount of unencumbered transferable funds that the client has in Canadian dollars.


17. The Travel History accordion panel allows you to add information about the client's travel.  


  • From the Destination Country dropdown list, select the country the client has traveled to or going to travel to.
  • Select the appropriate province according to the client's travel from the Province/State dropdown list. 
  • Select the destination city from the Destination City dropdown list.
  • Enter the reason for the client's travel in the Purpose of travel field.
  • Choose the date when the client traveled from the From  icon.
  • Choose the date upto when the client traveled from the To icon.
  • Enter the number of days the client is traveling in the Duration of stay (total days) field.
  • To add more than one Travel History, click Add New.

18.  The Emergency Contact accordion panel collects information pertaining to the person who has to be contacted in case of any emergency related to the client.  

  • Enter the name of the person who has to be contacted in case of emergency in the Name field.
  • Select the client's relationship with the person from the Relationship dropdown list.
  • Enter the phone number of the person in the Phone Number field.
  • Enter the email address of the person in the Email field.

19.  Once you have completed all the accordion panels, you can choose to update the customer by checking the Send update to customer if required.



20.  Click Add Case.


The new case is added and displayed.
